Teams Call Forwarding and Simultaneous Ring

Summary

This document explains how to set up Call Forwarding and Simultaneous Ring for incoming calls in your Teams Phone settings. Call Forwarding can be to another number (your mobile device) or to voicemail. Simultaneous Ring will allow you to have incoming calls ring into Teams on both your desktop and mobile devices.

Body

Call Forwarding

Microsoft Teams Phone allows you to control how incoming calls are handled. You can forward calls to voicemail, another phone number, or a contact. You can also configure calls to ring multiple destinations simultaneously.

Quick Call Forwarding Options

You can quickly change your call forwarding settings from the Calls section of the Teams desktop application.

  1. Open Calls in Microsoft Teams.
  2. Locate your current call forwarding status (such as Don't forward) in the lower-left corner of the Calls window.
  3. Click the current status to view your available forwarding options.
  4. Select an option to turn off call forwarding, forward calls to voicemail, or choose More settings to configure additional call handling options.

For additional call forwarding options, select More settings. This opens the Calls section of Teams settings, where you can customize how incoming calls are handled.

Forward All Calls

Use this option to automatically forward all incoming calls to another destination instead of ringing your Teams devices.

  1. Open Settings in Microsoft Teams and select Calls.
  2. Under Call handling and forwarding, turn on Forward all calls.
  3. Under Forward to, select your preferred destination:
    • Voicemail: Send incoming calls directly to your voicemail.
    • New number or contact: Forward calls to another phone number or contact.
    • Call group: Forward calls to members of a designated call group.

Forward Unanswered Calls

You can configure Teams to redirect incoming calls when you are unable to answer. This allows your calls to ring normally before being redirected to voicemail or another destination.

  1. Open Settings in Microsoft Teams and select Calls.
  2. Under Call handling and forwarding, make sure Forward all calls is turned off.
  3. Locate the When you can't answer a call section.
  4. Choose how unanswered calls should be handled:
    • Voicemail: Redirect unanswered calls to your voicemail.
    • New number or contact: Redirect unanswered calls to another phone number or contact.
    • Do not redirect: Do not redirect unanswered calls to another destination.

Simultaneous Ring

Simultaneous ring allows incoming calls to ring in Microsoft Teams and at another destination at the same time. For example, you can configure incoming calls to ring both your Teams desktop application and your mobile phone number.

Configure Simultaneous Ring

  1. Open Microsoft Teams and click the three dots (...) or your profile picture in the upper-right corner.
  2. Select Settings, then select Calls from the left menu.
  3. Locate the Call handling and forwarding section.
  4. Make sure Forward all calls is turned off.
  5. Locate the Also ring drop-down menu and select your preferred destination:
    • New number or contact: Ring another phone number or contact simultaneously.
    • Call group: Ring members of a designated call group.
    • Delegates: Ring designated delegates who can assist with handling your calls.
  6. If you selected New number or contact, enter your mobile phone number, a coworker's name, or another external phone number.

  2. Under Call handling and forwarding, locate the When you can't answer a call section.
