How to Approve Proposals
For CIM approvers, when a course or program proposal is ready to be approved, an email notification will be sent from uwplatt@notify.courseleaf.com. (If you reply to this email, it will be sent to coursecat@uwplatt.edu.)
The email will provide the link to the course proposal in the CourseLeaf role approval queue. In the example below, a proposal was sent to the Criminal Justice Department Chair for a change to the Criminal Justice Minor(highlighting on the link has been added).
Click on the link in the email (shown as highlighted in the image above) and log into CIM. This will take you directly to the appropriate approval queue.
- If you use the link in the email, then you'll go directly to the approval queue. It will default to the appropriate role based on the email link.
- The updated approval queue is similar to the classic but has a new look and feel. On the approval page, select the proposal you wish to view. As with the classic approval page, the proposal will be viewable in the preview pane on the right.
- NOTE: If you click on the CourseLeaf logo on the upper left of a page, you'll find yourself on the CourseLeaf dashboard. In the dashboard, the approval queue is in the workflow tab. On the approval page in the workflow tab, select the proposal you wish to view. You may review the proposal in the pop-up window.
- Edit: Opens up the proposal in a new window. Make any edits as needed and click either Cancel or Save Changes.
IMPORTANT: the edit button will look slightly different depending on where you are to approve, in either the approval queue or the dashboard workflow tab, but both open the proposal for editing.
- You may review the changes that all editors made one at a time by selecting the user in the View Changes By at the top of the preview pane. If you select a user, you will only see the red/green markup (red indicating removals and green meaning additions) performed by that specific user.
- Rollback: Click this button to roll it back to the previous step. If your role is the first step in the workflow, it will roll back to the proposer. That user appear in the "Rollback to:" area. A comment is required to rollback. After completing the comment, click Rollback and the recipient of the rollback will receive a notification email. This proposal will no longer appear in your queue.
IMPORTANT : This rollback button may or may not have the word "Rollback", depending if you are on the approval page or the dashboard, but both will rollback, so watch for the red button with the circular arrow.
OR
- Approve: After reviewing the proposal and making edits, if applicable, click Approve to move the proposal to the next step. The workflow appears on the right of the proposal. Orange is the workflow step in which the proposal is pending. Once approved, that step will turn green and the next step will turn orange.
- Tip: If you need to search for the notification email later, [CIM Programs] or [CIM Courses] can be searched. Also, you can go to https://catalog-test.uwplatt.edu/courseleaf/approve.
- If you are an approver in CAT and CIM, you may have two roles with slightly different names, but you can tell the proposals apart in the Type column, which will specify if the form comes from CAT, CIM Programs, or CIM Courses. Also, you may sort proposals by clicking on the header. Clicking on the Submitted header, for example, will sort the forms by date of submission.
