Membership Management

The second tab at the bottom of each group is "members". This tab contains the functionality to create individual members, change roles and terms.

Viewing Members

The members table displays the following columns:

  • Name
  • Role
  • Seat
  • Term Start
  • Term End
  • Actions

The "funnel" OR "filter" icon is located on the upper right side of the table. Click the icon to filter the table by role or status.

You may sort by term start or end by clicking the column name.

You may search members by name or by date.

*Note – Date format is 'YYYY MM DD', so the search '2018 03' would bring back all meetings from March 2018."*

Adding New Members

Members are imported each semester by the Appointments and Elections Committee (AEC) or Academic Staff Committee for Elections and Appointments (ASCEA). If you are not listed as a Shared Governance Group, the Chair, Vice-Chair or Admin Assistant can add new members.

Editing Existing Members

If you are not a Shared Governance group, group admins are able to edit existing members.

Options include:

  • User Selector
  • Role
  • Seat
  • Term Start and End Date

Ending a Member's Term

If you are not a Shared Governance group, group admins can end the term for any member in a group by clicking the "End Term" link. By clicking this link, the term for that member will end at that time and remove them from the 'active' term.

Bulk Importing Members

If you are looking to add or manage members in bulk for one or more groups you can follow the instructions below:

  • Download the excel spreadsheet to manage members outside of the dashboard.
  • This can be done in two ways:
    1. Click the "Template" button in the upper right. A date selection will appear, add the start and end time that you would like to edit. This will download EVERY group from the date period specified.
    2. Choose the select box next to each group. This will download an excel with ONLY the groups selected.
  • Make your bulk edits - Be sure to fill in all of the blanks
  • Click the "Import" button in the upper right and upload the file you just edited.
  • Your edits will appear after a successful upload.

*NOTE: If you do not have permission to import, you will not see the import button.*
