Authorized Use of University Email Accounts

Your University of Wisconsin-Platteville email account (@uwplatt.edu) is a vital tool for communication and collaboration within our organization. To ensure the security and integrity of our email system, it is important to use it only with authorized email systems.

Authorized Systems

Your @uwplatt.edu email account is configured to work exclusively with authorized systems. These systems are vetted and approved by Information Technology Services to ensure they meet our security standards. Authorized systems include:

  • Internal communication platforms (ex: Microsoft Teams, Emma)
  • Official email clients (ex: Microsoft Outlook, Outlook on the Web)
  • University-approved applications (ex: PASS, Canvas, Qualtrics)

Unauthorized Third-Party Services

Emails sent through unauthorized third-party services using a FROM address with @uwplatt.edu will not be delivered. This policy is in place to protect our network from potential security threats and to meet email industry best practices. Unauthorized services include, but are not limited to:

  • Personal email clients (ex: Gmail, Yahoo!)
  • Unapproved marketing tools (ex: Mailchimp, SurveyMonkey)
  • External collaboration utilities (ex: Asana, YouCanBookMe)

Consequences of Using Unauthorized Services

Attempting to use unauthorized services to send email using your @uwplatt.edu address can result in:

  • Non-delivery of emails: Emails sent through unauthorized services will be automatically blocked and will not reach their intended recipients.
  • Security risks: Using unapproved services can expose our network to vulnerabilities and potential data breaches.
  • Compliance issues: Non-compliance with our email usage policy can lead to disciplinary actions.

Best Practices

To ensure smooth and secure communication, please adhere to the following best practices:

  1. Use authorized systems: Always use the approved email clients and communication platforms provided by our organization.
  2. Avoid personal email accounts: Do not use personal email accounts for work-related communication.
  3. Report issues: If you encounter any issues with your email account, contact the ITS Help Desk immediately.

Purchasing New Software

If your department is purchasing a new solution that needs to send email from one or more @uwplatt.edu email addresses, complete the Email System Integration service request form. Once vetted, ITS Staff will coordinate with vendors to authorize their system to send email on behalf of UW-Platteville
