Campaigns
Campaigns are ways to proactively reach out to a specific set of students to encourage them to take a specific action, usually to schedule an academic advising or academic coaching appointment with you.
To start, choose the "Campaigns and Events" icon from the left-side column of icons; it looks like a megaphone in a circle.
Depending on your role, you may see different options for types of campaigns to choose from. Most staff will use "Appointment Campaigns". Select "Appointment Campaigns" to see your existing campaigns, or select "+ Add New" to create a new campaign.
The system will walk you through the steps to set up your campaign.
Define Campaign
Enter the basic details of the campaign as prompted. Note that the Care Unit, Location, and Services chosen must match at least one of your availabilities for students to be able to make appointments.
We do not recommend allowing students to schedule over courses.
Note that the "Scheduling Window" refers to when the appointments will take place. The Launch Date refers to when your "Welcome Message" will first send to students and can occur before the Scheduling Window opens. Select "Continue".
Select Recipients
Choose which students will be added to this campaign. If you want all your assigned students to be added, select "Assigned To" within the search section, and then select the appropriate assignment relationship and then select yourself from the "Staff" dropdown.
Other options for adding students to the campaign include choosing one of your student lists under "Student Information", or by performing any search but also checking "My Students Only".
Then, review the recipients added to the campaign to ensure you have added the intended students. Select "Continue".
Select Staff
Select yourself, noting the available times that align with this campaign. If none are available, you should either edit your campaign details or ensure you have an availability set up that aligns with the campaign.
Note the "Include Appointment Availabilities" checkbox. Leaving this unchecked will only show availabilities that include campaigns. This is the recommended setting. Checking the box will also include active availabilities that are for appointments only but align with the other details of the campaign. Select "Continue".
Compose Nudges
Create emails and/or text messages to be sent to students in the campaign.
"Add Welcome Message" allows you to write the communication that students will receive when the campaign launches. We recommend utilizing merge tags like the student's first name to personalize the communications.
Once the Welcome Message is saved, you will then see the option to create nudges. These messages will only be sent to students who have not scheduled the appointments required by the campaign. Nudges can be scheduled to go out on a specific date or on a date relative to when the students were added to the campaign.
An optional "Success Message" can be created to send to students when they have scheduled the required appointments.
Verify and Start
This page allows you to review the details of the campaign to ensure everything is correct. If all the details are correct, select "Start Campaign." Note that this does not override the Launch Date; if your Launch Date is in the future, the campaign will not launch until that date.
Monitoring Campaign Progress
After launching a campaign, you can monitor the progress of your students by clicking on the "Campaigns and Events" icon in the left-side menu, and then click on Appointment Campaigns, and then select the individual campaign you are interested in.
You can then at a glance review how many students have taken the various steps required of the campaign, such as opening the welcome message email and scheduling their appointment.
The final set of options allows you to view and sort information about appointments. A helpful option here is "Eligible Appointments", which allows you to associate appointments with the campaign that students may have scheduled outside of the intended campaign link.
