PASS - Textbook Workcenter (Staff)

This version of the Textbook Workcenter gives departments View and Print capabilities to the requested reports and processes.

After logging into PASS

  1. Open the Homepage drop-down on the upper left. Homepage drop-down
  2. Select Textbook Center
  3. Click the Textbook Center Workcenter TileTextbook Center Workcenter Tile
    1. You will now see the left side of the screen contains "Folders" of Textbook Center and PASS selections.
    2. Folder Titles are bolded and have drop-down arrows to expand and collapse pages.
    3. Each person using the Textbook Workcenter may have a unique combination of folders and pages, based on your current security access

Report Folder — Inventory and Titles Assigned to Classes

Inventory — Consists of two parts

  • TXH008—Lists titles assigned to active Catalog Numbers.
  • TXH009—Lists titles assigned to inactive Catalog Numbers

View Inventory and Run a Report

  1. Click on Inventory (TXH008, TXH009)
  2. Find an Existing Value screen appears. Search for or enter your Run Control Value.
    1. If you don't have a run control value
      1. Select the Add a New Value button.A red arrow shows the location of the Add a New Value button.
      2. Create an easily remembered name, and select ADD.
      3. You will not have to create another run control. Once it is created, it can be reused.
  3. The Textbook Inventory screen appears.
    1. Complete Campus field.
      1. Leaving campus blank is best because you will get Title IDs from all campuses,
      2. or use the Magnifying Glass to get a list of campuses.
    2. Complete Subject Area using the Magnifying Glass.
    3. Check the box Include ISBN/Publisher and Price information.Textbook Inventory screen with 'Include ISBN/Publisher and Price Information' box checked.
  4. SAVE.
  5. Select RUN to get the Process Scheduler Request window.
    1. Check both Inventory Active and Inactive.
    2. Type should remain Web for both.
    3. Format can be either PDF or CSV.
      1. CSV generates both XLS and CSV formats. (TIP: XLS is easier to read).Sample of the Process Scheduler Request window already filled out.
  6. Select OK. This will return you to the Run Control Screen.
  7. Select Process Monitor at the top of the screen.A red arrow indicates the location of the 'Process Monitor' link.
  8. Jump to Process Monitor Instructions.

Titles Assigned to Classes (TitlesAssigned2Classes)

  1. Click on TitlesAssigned2Classes (TXH015)
  2. Enter the same Run Control created above for Inventory.
  3. The Titles Assigned screen appears.
    1. Complete the Campus field.
      1. Leaving this blank is best, because you will get Title IDs from all campuses, or
      2. use the Magnifying Glass to get a list of campuses.
    2. Enter the term.
      1. Use the Magnifying Glass as needed.
    3. Leave File Name as is.Sample screen showing the Titles Assigned screen.
  4. SAVE.
  5. Select RUN.

  6. Select OK.

  8. Go to Process Monitor instructions (see below).

Process Monitor

Process Monitor displays reports and/or processes either previously completed, currently running, or queued to run.

  • Run Status—may be Queued, Pending, Initiated, Processing, or Success (or No Success)
  • Distribution Status—may be N/A, Posting, or Posted (or Error).
  • Anything in blue lettering can be opened.

Checking the Status and Downloading the Report

  1. To view or print results, the Run Status must display Success, and the Distribution Status must display Posted.
  2. Click Details. The Process Window appears.
  3. Click View Log/Trace. View Log Trace window appears.View Trace-Log Window
  4. .xls and .csv formats are ready for viewing.
    1. Double-click a format result to download to your Shared1 Download folder.
    2. At the top of the screen is a shortcut to downloads.
    3. You may edit and search these formats as your needs demand.
    4. To retain your results, save and rename the download to a desired folder.
      1. Be careful to save in the correct format (.xls, .pdf, .csv)
    5. .pdf formatted reports are immediately viewable when selected.
      1. Searching, Printing, and Downloading may be selected when viewing.
