Technology and the Off-boarding Employee

ITS provides two tools for managing the transition of technology equipment, responsibility, and access for off-boarding employees at UW-Platteville: the Employee Off-boarding Technology Self-Audit and the Employee Off-boarding Checklist for Supervisors - Tech Topics. Both of these tools are linked on the HR Off-boarding Checklist.

Employee Off-boarding Technology Self-Audit

The Employee Off-boarding Technology Self-Audit is a survey employees may complete to identify university systems and equipment they have used during their employment at UW-Platteville.  Upon submission, the employee receives an email containing an itemized off-boarding checklist for each system or device they have identified. 

For example, if the employee indicates they use Office 365 - Teams, they are presented this list:

"Teams: Inactive Teams will be deleted automatically after 365 days.

  • Are you the organizer of any Teams site that will continue? Find a replacement and grant them Owner access
  • Are there files that should be transferred somewhere else? Transfer them.
  • Are there Teams sites that are no longer needed? Transfer files to safe space and delete the site.
  • Are you a member of Teams sites organized by someone else? Leave the team or notify the Team owner.

For reference, list Teams sites you own.

For reference, list Teams site you are a member of, specifically if you have edit rights."

The employee's supervisor also receives a copy of this checklist to guide future access requests.  No personal information will be collected or shared.

Employee Off-boarding Checklist for Supervisors - Tech Topics

Supervisors can use the Employee Off-boarding Checklist for Supervisors (PDF) to guide employee off-boarding as it relates to technology access and equipment assignment at UW-Platteville. Questions address Access, Equipment, Continuity, and more. The goal is to make the transition as seamless as possible. Information gathered through the Checklist for Supervisors and the Employee Self-Audit described above should be helpful for removing access and also requesting access for new hires to that position in the future.
