How to Pull a Textbook List in PASS for Departmental Review

This is the process for pulling textbook assignments in PASS for departmental review, to aid in filling out the TC1 form for the Textbook Center.

Note: Before beginning this process, it should be confirmed that the subject has been copied forward by the Registrar's Office.

  1. Log into PASS.
  2. In the upper left corner, select Textbook Center from the drop-down.

  4. From the Queries Menu, select TXH_TC1_FORM.

  5. Enter the term and the subject code of the list of courses that you want to pull.

  6. Select View Results and data will appear.
  7. The following columns pull the data for the term entered into the query in Step 5: Institution, Subject Name, Catalog No., Section No., Course Title, Instructor (if known), NEW Class No.

  8. The following columns pull the data from the previous "like" semester: Title, ID Author, Title, Edition, Format, Copyright, Unit Price.

  9. The following columns are additional information that will not need to be copied to the TC1 form: Quantity, Add'l Copies, OLD Cap Enrl.

  10. Select Excel Spreadsheet to download your report into a workable spreadsheet.

  11. Open the spreadsheet.
  12. Delete any unnecessary lines, such as labs, that have their textbook assigned to the lecture component of the course, and Internships/Coops, Undergraduate Research, and Independent Studies that do not have a textbook assignment.

  13. Copy and paste the data from the Catalog No. column over to the Copyright column into the Textbook Center TC1 form.

  14. Review the books listed to verify that they are still the current book(s) for the course.
  15. If a new book was purchased in the previous semester, it will need to be updated on the spreadsheet.  Change any that need to be updated, replaced, purchased, or substituted.  In the example below, the previous instructor preferred the e-book while the new instructor prefers the physical, so this needed to be updated.

  16. If more sections of a course were added this semester, a new course was added or a section number (i.e. used to be section A but now is section 01) has changed you will see blank spaces under the textbook information.  Fill in these blanks with the appropriate book from inventory or indicate No Textbook.  In the examples below, an online section of the course was added this semester; therefore, no book was indicated and one needs to be entered.

  17. Submit your TC1 for approval.

How to Verify Textbook Assignments after the Schedule Opens in PASS

This is the process to pull the upcoming term textbook information to review and verify all is correct.

NOTE: The Textbook Center must first complete mapping books to classes and run the sync process in PASS before the textbook assignments will appear.

  1. Log into PASS.
  2. In the upper left corner, select Textbook Center from the drop-down.

  3. Select the Textbook Center Tile.

  4. From the Queries Menu, select TXH_TC1_FORM_POST.
    Enter the term and subject
  5. Enter the term and the subject code of the list of courses that you want to pull.
  6. Select View Results and data will appear.
  7. If the following columns are empty, then the Textbook Center has not yet mapped them in PASS: Title ID, Author, Title, Edition, Format, Copyright, Unit Price, Quantity, Add'l Copies.

  8. If these columns are filled, then they have been mapped in PASS for the term in the search.
  9. Verify the textbook information.  If any changes need to be made to the textbooks only, contact the Textbook Center Director, Laurel Mueller at 608.342.1265 or muellerla@uwplatt.edu..  If changes also affect classes, include the University Coordinator of Academic Scheduling, Michele Ryan, at meem@uwplatt.edu.
