Canvas manual enrollment requests

A course instructor can request that student employees be added to their course. Only the director, department chair, or program coordinator who oversees a course can request that additional staff or faculty members be enrolled in a course. When additional staff or faculty are requested, the requestor will be asked to identify why the enrollment is needed, and how it aligns with the academic interests of the students who are enrolled in the course.

Fill out the Course Enrollment Request form to have someone manually enrolled in a course. Before submitting a request, please review the enrollment guidelines below.

Student Enrollments

Student enrollments are triggered through PASS, which updates nightly. Students cannot be enrolled in courses that are offered for credit.

Student Employee Enrollments

A course instructor, director, department chair, or program coordinator can request the enrollment of a student worker who has completed their annual FERPA training. Roles that can be assigned to student workers are limited to the following:

  • Grader: Graders see the class list and are able to grade assignments.
  • TA: Able to edit content in the course but does not see grades.
  • TA/Grader: Able to edit and grade.

Note: Students should self-enroll in FERPA training and complete the training before you submit this form. This training is required annually, and it has to be renewed after September 1 each year. FERPA training is verified before enrollment, and student employees who have not completed the training during the current academic year will not be enrolled.

Faculty/staff enrollments

The official instructor of record is enrolled through PASS. Only a director, department chair, or program coordinator can request additional staff or faculty members be enrolled in a course. The requestor will be asked to identify the reason that this enrollment is needed. The reason must align with the academic interests of the students who are enrolled in the course. The roles that can be assigned to staff and faculty include:

  • Observer: Sees content but not student roster or grades.
  • Teacher: Same permissions as the course instructor.
  • Facilitator: Cannot edit course content but is able to grade and participate in the course.
  • Teacher Reviewer: Can interact with the student and access student grade information but cannot add or edit content.
  • Grader: Graders see the class list and are able to grade assignments.
  • TA: Able to edit content in the course but does not see grades.
  • TA/Grader: Able to edit and grade.
